Terms of Access and Acceptable Use Policy

1. Authorized Access Only

This system, including all related equipment, networks, and network devices (specifically the Elexi Administration & Operations Portal), is provided strictly for authorized enterprise use. By logging into this system, you acknowledge that you are an authorized employee, contractor, or agent of Elexi with an active and explicitly granted business need to access this system. Unauthorized or improper use of this system may result in administrative disciplinary action, termination of employment/contract, and civil or criminal penalties.

2. Monitoring and Auditing

You have no reasonable expectation of privacy regarding any communications or data transiting or stored on this system. At any time, and for any lawful purpose, Elexi may monitor, intercept, record, and search any communications or data transiting or stored on this system. All activities on this portal are actively logged, audited, and reviewed. By continuing to use this system, you indicate your awareness of and consent to these terms and conditions of use.

3. Data Privacy and Confidentiality

This system contains Highly Confidential and Personally Identifiable Information (PII), including but not limited to driver biometric data, financial records, SMS metadata, and real-time location telemetry.

• You agree to handle all data in strict compliance with Elexi's internal Data Protection Policies and applicable regional privacy laws.
• You shall not copy, extract, download, or distribute system data to external or unmanaged devices unless explicitly required for an authorized business process.
• Any suspected data breach or unauthorized exposure must be reported immediately to the Elexi Security Operations Center (SOC).

4. Credential Security

Your access credentials (including passwords, OTPs, and biometric authenticators) are issued strictly for your individual use.

• No Sharing: You are strictly prohibited from sharing your credentials or allowing any other individual to access the system using your session.
• Device Security: You must access this system only from enterprise-approved or appropriately secured devices. You must log off or securely lock your session when unattended.

5. Prohibited Activities

While using the portal, you are expressly prohibited from:

• Bypassing, disabling, or attempting to circumvent any security controls, audit logging, or access restrictions.
• Utilizing the portal to conduct unauthorized tracking, surveillance, or data harvesting of fleet personnel.
• Reverse engineering, decompiling, or probing the application for vulnerabilities.
• Using the platform for any personal, non-business, or unlawful purposes.

6. Smart Meter and Location Services

The Elexi mobile application provides a Smart Meter feature that calculates trip distance, transit duration, and passenger fares in real time.

• Foreground and Background Location Access: By activating the Smart Meter, you authorize Elexi to access and collect your device's location data in the foreground and in the background (even when the app is closed, minimized, or the device screen is locked). This access is strictly necessary to maintain accurate distance metering and fare computation throughout an active journey.
• Active Session Scope: Location tracking is strictly confined to initiated Smart Meter trips. When a trip is paused or stopped, background location collection ceases immediately.
• Persistent Notification: During active metering, the app maintains an ongoing system notification indicating that location tracking is running. You may terminate tracking at any time by stopping the meter session.
• Fair Use: Drivers and users agree not to falsify, mock, or spoof GPS coordinates. Attempting to manipulate location data to inflate fares or report fraudulent distances constitutes a violation of these terms and may result in immediate account termination.
